Approval is requested for the award of a two-year contract to Andrade Trucking of San Jose for aggregate, crushed granite and sand for the Department of Public Works Street Maintenance Program.

Aggregate, crushed granite and sand are required by the street crews for the repair and maintenance of City streets and parking lots.

Until recently, pricing for these materials has fluctuated significantly from year to year; and competitive bids were issued on an annual basis. This year, however, the City asked that pricing remain firm for a two–year period. Bidders were asked to provide a delivered price per ton for each product. An estimated cost for each product is determined by multiplying the price per ton by the number of tons required to complete the work planned during a two-year contract term.

Specifications were prepared by Public Works and Purchasing staff; and seven local suppliers were notified that Invitation for Bids #F9901-51 was available via the SunDIAL fax-on-demand feature.

Andrade Trucking of San Jose submitted the only bid. However, Andrade has furnished these materials to the City in the past; and staff has been satisfied with their products and services. Staff recommends acceptance of the bid.

It is anticipated that total expenditures will not exceed $216,845 for a two-year period. Funds are available in various Public Works accounts as well as several accounts associated with Public Works projects.

It is recommended that Council award a two-year contract in an amount not-to-exceed $216,845 per year to Andrade Trucking of San Jose for aggregate, crushed granite and sand and authorize the Purchasing Officer to issue a purchase order to that effect.
