Approval is requested for the award of a contract to West Star Distributing, Inc., of Hayward, for seven riding mowers for the Department of Public Works Fleet Maintenance Division.

The requested riding mowers are gasoline engine, 24HP minimum, and designed to perform large scale mowing at the City’s golf courses and parks. The requested mowers will replace seven existing mowers which are on the 1999/2000 replacement schedule. The existing mowers have had high usage and are experiencing increased downtime and rising operating costs.

Fleet Maintenance and Purchasing staff prepared bid specifications, and six vendors known to provide riding mowers were notified that Invitation for Bids #F9909-28 was available. West Star Distributing submitted the only bid received. Their bid of $106,436 includes sales tax, delivery to the Sunnyvale Corporation Yard and a two-year/1500 hour warranty. Bid pricing also reflects trade-in allowances for the seven existing mowers.

Staff has determined that bid pricing is reasonable and recommends acceptance of the bid.

Total cost to the City will be $106,436. Funds are available in Public Works Account #020700-5135.

It is recommended that Council award a contract in the amount of $106,436 to West Star Distributing, Inc., of Hayward and authorize the Purchasing Officer to issue a purchase order to that effect.
