SUBJECT: Award of Bid #F9910-39 for Police Patrol Sedans (RR#99-510)
REPORT IN BRIEF
Approval is requested for the award of a contract to Downtown Ford Sales of Sacramento for three police patrol sedans for the Department of Public Works Fleet Maintenance Division.
BACKGROUND
The requested vehicles are full-size sedans with V8 engines and heavy duty components appropriate for traffic and law enforcement usage. These will replace three existing police patrol sedans which are on the replacement schedule for FY 1999/2000. The existing vehicles have been driven a minimum of 85,000 miles and are beginning to show signs of mechanical stress with the potential for major component failure. Because of the conditions under which police patrol sedans are driven, vehicular failure of any type would potentially endanger the lives of the officers using the vehicles.
DISCUSSION
Fleet Maintenance, Public Safety and Purchasing staff prepared specifications, and Invitation for Bids #F9910-39 was made available to eleven vendors known to provide police patrol sedans, including two Sunnyvale dealers.
Three bids were received:

Bid pricing includes sales tax and delivery to the Sunnyvale Corporation Yard and a 36 month/36,000 mile warranty. All bidders offered a 2000 model year Ford Crown Victoria.
Staff recommends acceptance of the low bid.
FISCAL IMPACT
Total cost to the City for will be $69,685. Funds are available in Public Works Account #020700-5135.
RECOMMENDATION
It is recommended that Council award a contract in the amount of $69,685 to Downtown Ford Sales of Sacramento for three police patrol sedans and authorize the Purchasing Officer to issue a purchase order to that effect.
