Approval is requested for the award of a contract to Hertz Car Sales of Santa Clara for four used vehicles for the Department of Public Works Fleet Maintenance Division.

The vehicles to be purchased will replace existing vehicles which have high mileage, and maintenance costs make them uneconomical to retain in the City’s fleet. The vehicles are on the FY 1999/2000 replacement schedule and will be used as undercover vehicles for the Department of Public Safety.

Specifications were prepared by Fleet Maintenance and Purchasing staff; and Invitation for Bids #F9902-56 was made available to four dealers known to provide good quality used vehicles, including three Sunnyvale dealers. One bid was received. Hertz Car Sales of Santa Clara offered Ford and Chevrolet vehicles (1999 model year) at a total bid price of $63,578 for all four vehicles.

Bid pricing includes sales tax, a 4 year/48,000 mile warranty on each vehicle and delivery to the Sunnyvale Corporation Yard.

Staff has determined that the bid price is reasonable and recommends its acceptance.

Total cost to the City will be $63,578. Funds are available in Public Works Fleet Maintenance Account #020700-5135.

It is recommended that Council award a contract in the amount of $63,578 to Hertz Car Sales of Santa Clara for four used vehicles.
