REPORT IN BRIEF

Approval is requested to amend an existing contract with Fluid Industrial Systems Inc., of San Jose for the replacement of the boiler and air handling unit at City Hall for the Department of Public Work Administration Division (Project #PR-95-13(B)).

BACKGROUND

On December 12, 2002, Council awarded a contract to Fluid Industrial Systems in an amount not to exceed $145,794 (bid amount of $126,777 plus a 15% contingency of $19,017) for replacement of aging heating, ventilating and air conditioning (HVAC) equipment at City Hall. The work did not begin until July 2001 because of long lead times from the factory on replacement HVAC components.

DISCUSSION

During the course of the work, temporary cooling was provided at City Hall while some of the components in the existing system were upgraded. This item was not included in the contract, but was necessary to maintain a comfortable working environment for City Hall staff while the work was being done.

FISCAL IMPACT

Additional expenditures for temporary cooling total $4,904 for a new contingency total of $23,921 and a total contract value of $150,698. Funds are available in Infrastructure Account 817950 - Civic Center Buildings - HVAC. No increase in Council approved-budget is required.

RECOMMENDATION

It is recommended that Council authorize additional expenditures in the amount of $4,904 under an existing contract with Fluid Industrial Systems, Inc., for the replacement of the boiler and air handling unit at City Hall.
