Authorization to Amend an Existing Contract for Public Works Project Management Services (#F0209-28)(RTC#02-405)

REPORT IN BRIEF

Approval is requested to amend an existing contract with Associated Infrastructure Management Services of Los Gatos for public works project management and related services for the Department of Public Works Project Administration Division. The requested amendment will extend the contract by one year and increase authorized expenditures.

BACKGROUND

On August 7, 2001, Council awarded a two-year contract to Associated Infrastructure Management Services (AIMS) in an amount not to exceed $250,000 to provide project management and related services to Project Administration Section. The term of this contract is August 7, 2001, through July 31, 2003. Compensation was at the hourly rate of $70.00 which was increased to $75.00, effective July 1, 2002.

DISCUSSION

Associated Infrastructure Management Services is currently providing temporary help to Project Administration Section of the Engineering Division. This additional help is needed because Project Administration Section is managing the construction of the Multimodal Transit Station and the Sunnyvale Senior Center in addition to managing a large number of other projects. The original contract amount for AIMS needs to be increased as the staff is proposing to continue with these services. It is also proposed to extend the contract through July 31, 2004.

FISCAL IMPACT

It is anticipated that additional required expenditures will not exceed $300,000. This includes expenditures through the original contract term plus expenditures during the one-year extension, making a total contract amount not to exceed $550,000. Funds are available in various Capital Project accounts.

RECOMMENDATION

It is recommended that Council authorize a one-year extension of an existing contract with Associated Infrastructure Management Services (AIMS) and authorize additional expenditures up to $300,000 for public works project management and related services.
