The Board of Library Trustees met in special session in the Library Program Room, 665 West Olive Avenue at 7:00 p.m. with William Soby presiding.

CONSENT CALENDAR

Boardmember Flaherty moved, and Boardmember Harms seconded, approval of the Consent Calendar.  The motion carried unanimously.

PUBLIC HEARINGS/GENERAL BUSINESS: 

2. Election of Chair and Vice Chair

 

Nominations were opened for Chair to the Board of Library Trustees.  Robert Harms nominated Pam Anderson.  Voting 5 yes, Pam Anderson will serve as Chair.

 

Nominations were opened for Vice Chair to the Board of Library Trustees.  Robert Harms nominated Tom Flaherty.  Tom Flaherty declined the nomination.  Tom Flaherty nominated Roland Wanigatunga.  Voting 5 yes, Roland Wanigatunga will serve a one year term as Vice Chair.

 

Bill Soby welcomed new library boardmembers Jim Griffith and Kathleen Meagher.  New Chair Anderson proceeded with the meeting.

 

Pam Anderson will serve a one year term as Chair.  Roland Wanigatunga will serve a one year term as Vice Chair.

 

3. New Member Orientation

 

Boardmember Meagher provided a brief overview of her background.  Boardmember Griffith provided a brief overview of his background and experience.  Director Johnson will provide an orientation to the library facility, staff and services.  The City Clerk’s office will be providing a new Board/Commission Handbook.  New member orientation is scheduled for Thursday, July 22 in Council Chambers.

 

Boardmembers shared their experiences and roles as representatives for the community and as advisors to the City Council on library issues.  Boardmembers encouraged new members to review the Trustees Toolkit and Library Budget Materials.  They were also encouraged to participate in community and library activities, the California Library Association, and California Association of Library Trustees and Commissioners.

 

Chair Anderson opened the public hearing.

 

Mr. Harms encouraged boardmember to advocate on behalf of library users and to participate in community outreach events during their term.

 

Mr. Soby encouraged Boardmembers to speak at City Council meetings regarding library issues and on behalf of library users. 

 

Chair Anderson closed the public hearing.

 

4. RTC: Authorization for Sunnyvale Public Library to Apply for Target Community Giving Grant in the Amount of $3,000

 

Director Johnson presented the staff report.  Boardmember questions were answered regarding provisions of grant and whether this a yearly or one time grant.

 

Chair Anderson opened the public hearing, and there being no public testimonies, closed the public hearing.

 

Boardmember Griffith moved, and Boardmember Flaherty seconded, for the Board to recommend to Council Alternative #1 which authorizes Sunnyvale Library to apply for the Target Community Giving grant.  The motion carried unanimously.

 

NON-AGENDA ITEMS AND COMMENTS

Boardmember Griffith requested staff review the City of Sunnyvale website for accuracy of Board meeting dates and times.

  • STAFF ORAL COMMENTS

Director Johnson reported the following on behalf of the Silicon Valley Library System (SVLS) Administrative Council meeting:

  • Strategic Planning sessions will be held in August and November 2004
  • Council will continue to find ways to work together in the interest of cost effectiveness
  • Gale database cost will be adopted in February for fiscal year 04/05
  • New Chair and Vice Chair were elected.

Director Johnson noted the following:

  • Library employees Peggy Kopf and Sally Baker have retired.
  • Sharon Kornhaus has rejoined the library as a Casual Librarian.
  • City Council adopted fiscal year 04/05 budget.
  • In May, Circulation Supervisor Ellen Giarrizzo placed a service call to have 3M investigate the false alarms that the library has been experiencing.  Minor adjustments were made.
  • The library has received the We the People Bookshelf grant from The National endowment for the Humanities, Global Languages Material grant in the amount of $25,000 (contingent upon state budget), and 12 Human Rights Videos from the National Video Resources.
  • The library has borrowed an exhibit from the California History Center at DeAnza College.  The exhibit shows excerpts from the scrapbook of Charles Fuller, a native Sunnyvale resident whose father was Harvey Fuller, the first Mayor of Sunnyvale.  The exhibit will be on display till the end of August.
  • The Library is in the process of negotiations for the new automation system.
  • New lighting has been installed in the international language books section and in the feature film section.
  • Director Johnson attended the American Library Association Annual Conference in Orlando, Florida.
  • Library staff acknowledged 6,000 hours of volunteer time at it annual Volunteer Breakfast.
  • Effective July 1st, Library customers are required to pay a borrowing fee for feature Videos and DVDs.  The Board will be presented with a brief review of comments received by staff regarding the new fee in August.
  • The Adult, Teen and Children’s Summer Read Program is underway.
  • Supervising Librarian, Betsy Wachter attended the State of the City event and shared information regarding the library with attendees.
  • National Night Out is scheduled for Tuesday, August 3 from 7-9 p.m.  Public Safety will be assisting residents in organizing neighborhood events.  Members are encouraged to attend events.
  • SVLS funding has improved and Sunnyvale is encouraged to appoint a System Advisory Board member.  This will be on next month’s agenda.
  • Program flyers and announcements were distributed.
