Our mission is simple:  to provide the highest quality municipal services to the Sunnyvale community.  We rely on our suppliers to provide the materials and services that are an important component of Sunnyvale's service delivery system.  We value suppliers who share our dedication to quality and continuous improvement and who are interested in working with us to accomplish our mission.

Soliciting the City's Business

The Purchasing Division is responsible for procuring materials, supplies, equipment, and services for all City departments.   Your first contact when soliciting the City's business should be with Purchasing Division staff.  Purchasing staff can then direct you to the City department or staff member best able to evaluate your organization's products or services for use by the City.

The Bidding Process

City purchases are made through a competitive bidding process in which purchases are divided into formal and informal categories.

Formal purchases are valued at more than $50,000.  Bid invitations for formal purchases are advertised on the Bids Available page of the Purchasing Division web site.  Bid invitations for public works projects are also advertised in The Sun.  Formal sealed bids must be submitted to the Purchasing Division, 650 West Olive Avenue, Sunnyvale, CA 94086.  Formal bids are opened publicly by the Purchasing Officer on the date and at or shortly after the time set for receipt of bids at the Sunnyvale City Hall Annex, 650 West Olive Avenue, Sunnyvale, California.  Award of a contract resulting from a formal bid invitation is made by the City Council.

Informal purchases are valued at $50,000 or less.   Quotations for informal purchases are requested from firms in the City's supplier database, and may also be advertised on the Bids Available page of this web site.  Quotations may be submitted directly to the requesting Buyer by telephone, fax, mail, or e-mail.  Contracts for informal purchases are awarded by the Purchasing Officer.

It is the policy of the City of Sunnyvale to use environmentally-preferable products and services.  See the City's Environmental Procurement Policy for details.

The Supplier Database

In order to facilitate a greater distribution of its bid opportunities, the City has joined Onvia DemandStar, the leading government purchasing network.  Onvia DemandStar maintains a database of member suppliers, who are automatically notified of bid opportunities relevant to their businesses.  For more information on becoming an Onvia DemandStar member, please visit the Bidder Registration page.
