Award of Bid #F9701-41 for Electrical Services (RTC #98-262)

REPORT IN BRIEF

Approval is requested for the award of a three-year contract to Ehlers Electric Company of Sunnyvale to provide electrical services on an "as needed" basis for City departments.

BACKGROUND

Over the years, the City has found it to be more cost effective to contract with a licensed electrical contractor, as needed, than to have an electrician on staff. Electrical services are most commonly required when office space is reconfigured and during technology upgrades.

Ehlers Electric has provided electrical services to the City for several years. Their current contract was awarded by Council in 1995 and will expire on July 31, 1998.

DISCUSSION

Eleven local electrical contractors, including six Sunnyvale firms, were notified that Invitation for Bids #F9701-41 was available through the SunDIAL System’s Fax-on-Demand feature. Bids were received from Ehlers Electric of Sunnyvale and Lopes Electric, Inc., of San Jose. Ehlers Electric submitted the lowest bid.

FISCAL IMPACT

It is anticipated that the total expenditures for the three-year contract will not exceed $200,000. Funds are budgeted in accounts throughout the City.

RECOMMENDATION

It is recommended that Council award a three-year contract in an amount not to exceed $200,000 to Ehlers Electric Company of Sunnyvale for electrical services and authorize the Purchasing Officer to issue a purchase order to that effect.
